Preparing Your Travelers

Planning a CHA tour begins with a group leader. Teachers are the leaders of their classrooms and are the best candidates for leading a tour for their students. If you are interested in leading your own CHA tour, here’s how to get started:

After Your Group Enrolls

As your group’s leader, you are the main link between CHA and your travelers. In the months leading up to your trip, your CHA Tour Counselor will keep in touch with you to update you on the progress of your tour. During this time, you’ll be responsible for getting your group ready to travel. Schedule regular meetings to keep your group connected and informed, to make sure that they are making tour payments on time, that they have applied for a passport and any necessary visas, and to answer their questions. Also, please encourage your group to consider purchasing an optional Travel Insurance Plan. Some group leaders send out monthly newsletters or keep in touch with travelers by email or by phone.

Using CHA’s Tour Account Center

Group leaders have automatic access to CHA’s Tour Account Center. This useful tool makes planning a CHA tour easier, giving you access to your tour information 24 hours a day. Using your group number and your unique Tour Account Code, you will able to track your group’s enrollments and payments, look up important details about your tour like flight and hotel information, and more.

Group leaders can also allow individual travelers to access the Tour Account Center to look up their specific tour balances, make tour payments using a credit card, as well as view their flight and hotel assignments. Before You Go

About one month before you leave, we will send you a supply of CHA backpacks, luggage tags, and travel guides containing essential information your students will need before they travel. In this guide, you’ll find answers to their most-asked questions about packing, spending money, free-time activities and more. We recommend that you schedule a meeting to review these items together.

Approximately one week before you leave, electronic airline tickets and final travel documents will be uploaded to your Tour Account Center where you can easily print these items on behalf of your travelers. Be sure to schedule a final meeting with your group to distribute this important travel documentation and review any last-minute details before your departure day. Once your group arrives overseas, you'll be met by your assigned CHA Tour Director at the airport where your overseas adventure will begin!
